To arrance hotel accomodations, please use one of the following options:
Mail—Complete the reservation form, and return it to NAEYC/Experient to arrive by October 1, 2008. Mailed housing forms should be postmarked by September 24 to arrive by October 1. Return the form with check (payable to NAEYC/Experient) or credit card information to:

Telephone—You may telephone NAEYC/Experient for reservations, 8:00 a.m. to 5:00 p.m., Central Time, Monday through Friday. Call 800-967-3305 (United States and Canada) or 847-940-2529 (international).
Fax—You may fax a completed form, one copy per room, to 800-521-6017 or 847-940-2386.
Deposits — A valid credit card with an expiration date of 11/08 or later; or, a check made payable to NAEYC/Experient for $220 per reservation is required to guarantee your reservation. Requests received without one of the above will not be processed.

Acknowledgments
An acknowledgment will be sent after each reservation booking, modification, and/or cancellation. Review it carefully for accuracy. If you do not receive an acknowledgment via e-mail, fax, or mail within 14 days of any transaction, please contact NAEYC/Experient at 800-967-3305 (United States and Canada) or 847-940-2529 (international).
Deadline/room rates/taxes
To take advantage of the special NAEYC Conference rates, be sure to book your reservation by October 1, 2008. After this date, the official room blocks will be released and hotels may charge significantly higher rates. All rates are per room per night and are subject to appropriate taxes in effect at the time of the meeting. The hotels will assign specific room types at check-in, based upon availability. Please be advised that requests are not guaranteed.
Modification/cancellation of hotel reservations/CANCELLATION FEES
- Reservations secured by credit card may be made, modified, and/or cancelled without penalty until October 1, 2008.
- You may continue to modify and/or cancel reservations until October 17, 2008, via NAEYC/Experient, based on availability. Between October 18 and October 22, no changes can be made to reservations while NAEYC/Experient transfers all reservation information to the NAEYC hotels. Beginning October 23, please contact your hotel directly.
- Each hotel has its own cancellation policy. Refer to the NAEYC/Experient acknowledgment that you will receive for details about cancellation, no shows, and forfeiture of deposit.
Reservations/cancellation of room blocks of 10 or more rooms
- All requests for blocks of 10 or more rooms must be submitted in writing and accompanied by a valid credit card with an expiration date of 11/08 or later; or, a check made payable to NAEYC/Experient for $220 per reservation to guarantee the reservation.
- A form for requests of blocks of 10 or more rooms will be sent to each group from NAEYC/Experient.
- Rooming lists are due September 3, 2008, in writing.
- Cancellation of room blocks of 10 or more rooms must be made by September 3, 2008, to avoid penalty.
- Cancellation of any rooms in blocks of 10 or more rooms beginning September 4, 2008, will be assessed a cancellation fee of $50 per room.
- Please refer to the NAEYC/Experient acknowledgment that you will receive for further information about cancellation and forfeiture of deposit.
Roommates
Select those people with whom you wish to share a room, and include their names and the arrival and departure times for each person on the hotel reservation form or when reserving via telephone. Unless complete information is received, your hotel assignment will be processed as a single room. Your roommates should not send duplicate hotel reservation forms.
Refunds
Credit cards will only be billed if rooms are canceled after your hotel’s cancellation policy is in effect or for no shows. Check deposits are fully refundable until October 10, 2008. After this date they will be refundable less a $14 processing fee. If cancellations are made after your hotel’s cancellation policy is in effect, one night’s room and tax will be kept and any additional money will be refunded if applicable. If you have 10 or more rooms and cancel after September 3, 2008, your credit card will be charged a $50 cancellation fee per room.
Don’t go around the block!
When NAEYC brings the Annual Conference into a city, we negotiate with the hotels to block a sufficient number of guest rooms for attendees. For 2008, NAEYC has contracted with the finest convention hotels in Dallas as well as several discounted properties. We want you to feel safe and secure and to enjoy the hospitality of quality, upscale lodging. You deserve it!
Keep in mind that if NAEYC does not fulfill our contractual obligations with these hotels, the Association will be required to pay significant financial penalties.Please support your professional association by making your reservation with one of NAEYC’s official conference hotels. Thank you!
